The Process

1. Submit an Inquiry

Start by submitting an inquiry with your wedding date, venue, and the services you're interested in.

I'll check my availability and get back to you. If I'm already booked for your date, I'll do my best to refer you to another coordinator when possible.

If I'm available, we'll schedule a phone consultation to talk through your wedding, the services you need, and the package that makes the most sense for you.

We'll also review the investment so you know exactly what to expect before moving forward.

2. Secure Your Wedding Date

Ready to move forward?

I'll send you the next steps to officially book your services.

Your wedding date is not secured until your signed agreement and retainer have been received.

Once your retainer is paid and your agreement is completed, your date is officially on my calendar.

3. Your First Check-In

After your date has been secured, we'll schedule your first check-in meeting. This will typically take place approximately 2–4 weeks after our initial consultation, depending on your wedding date and where you are in your planning process.

During our first check-in, we'll:

  • Review where you currently are in the planning process

  • Discuss what we'll cover during future check-ins

  • Establish a general schedule for upcoming meetings

  • Review important planning milestones

  • Answer questions you may have

  • Discuss any areas where you need additional support

  • Provide helpful resources when appropriate

At this check-in, 50% of your selected package investment is due.

Your planning experience will vary depending on your wedding date, how far along you are in the planning process, and the package you've selected.

No two weddings are exactly alike—and your coordination experience shouldn't be either.

4. Ongoing Check-Ins & Final Details

As your wedding approaches, we'll continue with scheduled check-ins based on your package and individual needs.

We'll use this time to review your timeline, vendor details, logistics, questions, and other important pieces of your wedding day.

As we get closer to your wedding, we'll shift our focus toward final details and execution so that everyone knows where they need to be, when they need to be there, and what they need to do.

5. Final Balance

Your remaining balance is due on the 1st of your wedding month.

For example:

Wedding on September 15 → Remaining balance due September 1.

Wedding on September 28 → Remaining balance due September 1.

This allows your account to be paid in full before your wedding day and gives us the opportunity to focus entirely on execution as your wedding approaches.

6. Ceremony Rehearsal

I'll coordinate your ceremony rehearsal according to the services included in your package.

We'll walk through the ceremony logistics and help make sure everyone understands where they need to be and what will happen during the ceremony.

7. Wedding Day

This is where you get to be present.

I'll arrive at the venue at the agreed-upon start time, ready to manage the moving pieces of your wedding day.

I'll coordinate with your vendors, help keep the timeline moving, assist with setup and transitions included in your package, and troubleshoot issues as they arise.

Wedding days are live events. Things can happen that no one could have predicted.

I cannot promise perfection. I can promise that I'll be there to respond, problem-solve, and keep things moving.

That's what you're hiring me for.

Depending on your venue and contracted services, coordination may continue through approximately midnight or 1:00 AM.

8. After the Wedding

Once your contracted services are complete, I'll send a follow-up email confirming that your services have officially concluded.

If applicable, I'll also provide information regarding rentals, decor, or other items included within your contracted services.

If you've added decor setup and/or teardown services to your package, those services will be handled according to your agreement.

Please note that I am not responsible for personal items that are lost, misplaced, damaged, or stolen during or after the event.

I am also not responsible for the performance, actions, omissions, or failures of vendors that you independently hired and that are not part of my contracted services or recommendations. While I'll always do my best to communicate and troubleshoot issues, I cannot control another vendor's business practices or performance.

9. Your Feedback

A few days after your wedding, I'll send you a short client experience survey.

You'll also receive an opportunity to leave a review and share your experience with future couples.

Your feedback helps my small business continue to grow and helps future couples know what they can expect when working with me.
